If you coordinate supports for a living, your relationship with equipment suppliers probably looks like this: send a referral, wait, follow up, wait, receive a quote with the wrong support item number, send it back, wait, and explain to your participant why the shower commode is now six weeks away. You are not the problem. The industry's turnaround culture is. This is a working guide to getting equipment moving in days: what a clean quote must contain, what to send a supplier to get one fast, and the standard you should hold every supplier to, including us.
Why quotes bounce, and what a clean one contains
Most rejected or stalled claims trace back to the quote itself. A quote that clears first time contains: the correct NDIS support item number for the AT category; a clear item description matching the plan's language; unit price, delivery and any setup costs itemised; the participant's name and NDIS number as the plan manager expects them; GST treatment done correctly (most AT is GST-free when the requirements are met); and validity dates long enough to survive an approval queue. Miss one and the quote boomerangs, which costs everyone a week per round trip.
When we say our quotes go out with the right wording, this list is what we mean. It is not glamorous. It is the difference between days and months.
The 2-hour standard, and what it needs from you
Our commitment: send a referral during business hours and the quote is back within 2 business hours. Not an acknowledgement email. The quote. Here is the referral that makes that possible, straight to info@connectmobility.com.au:
The 6-line referral:
1. Participant name and NDIS number
2. Plan management type (self, plan-managed with PM contact, or agency)
3. The item, as specifically as known (product name, or the need in one sentence)
4. Any OT recommendation or report, attached if it exists
5. Delivery suburb
6. Anything time-critical (discharge date, plan review date)
With that, we quote inside the window. Without an OT letter on a mid cost item, we will tell you straight away that one is needed and help arrange it, which still beats discovering it at claim time. For items under $1,500 (low cost AT), no letter is needed at all, and orders can move the same day from core budget.
Where the time actually goes, tier by tier
Low cost AT (under $1,500): shower chairs, walkers, commodes, continence supplies, rails. No quotes required for approval; the constraint is just stock and delivery. This is where a supplier's speed shows most nakedly: same-day dispatch versus a fortnight of processing.
Mid cost AT ($1,500 to $15,000): scooters, lift chairs, beds, most wheelchairs. The critical path is the allied health written advice. Line that up early, in parallel with the trial, and the whole file can close in under two weeks for plan-managed participants.
High cost AT (over $15,000): complex power wheelchairs and specialised builds. Assessor report plus quote, NDIA queue, genuine lead times. What a supplier controls here is being trial-ready and quote-perfect so the queue is entered once, not three times.
Trials that produce evidence, not just opinions
A free in-home trial does two jobs for a coordinator. The participant makes a confident choice on their own driveway, and the trial produces documentation an OT can cite in the written advice: what was trialled, what fitted, what was rejected and why. That paragraph turns a generic recommendation into a specific, defensible one, and specific recommendations clear faster. For plan managers specifically
You mostly need two things from a supplier: invoices that reconcile without emails, and no surprises. Ours carry the support item number, the participant reference in your format, and GST handled correctly, because a bounced invoice wastes your hour, not ours, and we would like the next referral. Do you deal with participants directly or through us?
Whichever serves the participant. Some coordinators want everything routed through them; others want us to handle logistics directly with the family and simply keep them informed. Say which on the first referral and that becomes the account's standing instruction.
What happens when equipment needs repair mid-plan?
We service what we sell, locally, and quote repairs with the same support item discipline as purchases. For participants who bought elsewhere from a supplier who has vanished, we will honestly assess whether repair or replacement is the better use of the plan.
Why is a pharmacist-led supplier different for coordinators?
Two practical reasons. Clinical literacy: we read OT reports properly, flag interactions between equipment and health conditions, and write justifications in language planners recognise. And incentive honesty: if the $250 solution solves it, we quote $250, because coordinators who trust the advice come back with the next twenty participants.
